Position Profile
Senior Coordinator, Special Events & Projects

Job Purpose
The Senior Coordinator, Special Events & Projects is an organized, dynamic, and detail-oriented individual that supports the Chief Executive Officer (CEO), Executive Directors and CPC Staff to ensure the effective planning and coordination of events & projects. In this capacity, the incumbent is responsible for the logistical and administrative support AGM/Congress, Hall of Fame, Athlete Award Ceremonies and other events hosted by CPC in the delivery of its mandate. This individual is also responsible for special projects as required.

Reports To: Director, Finance
Location: Ottawa

Primary Responsibilities
• Event Planning:
o Key lead on planning, coordination, delivering and logistics of the AGM, Congress, Canadian Paralympic Hall of Fame and Awards Program
o Logistical planning and support of key CPC events, including; Excellence Series, Recruitment Series, Orientation Seminar, Paralympic Schools Weeks, Canada Paralympic House, Family & Friends program, Partnership Events, Fundraising events, and the various conferences/events as required.
o Acting as project manager of events, liaising with the facility and appropriate CPC staff to complete tasks as required
o Coordinate travel and accommodations of participants
o Coordinate registration process
o Manages the budget of certain CPC events

• Special Projects:
o Coordination of special projects that ensure a safe, productive, and effective work environment
o Maintain CPC contact database, both domestically and internationally
• Other:
o Works with the External Representation Committee and the Director, Finance on the nominations for the Canadian Paralympic Hall of Fame, Canadian Sports Hall of Fame, Whistler Sport Legacy Society and other nominations as required
o Assists with Office Management
o Other duties as required

• Post-secondary education in events management, administration or equivalent work experience

Knowledge and Skills
• Business writing and verbal communication skills, in both official languages
• Attention to detail and perform work with accuracy
• Knowledge of Executive and Board policies and procedures
• Event/Project management
• Proficient computer skills for:
o Email
o Spreadsheets
o Project planning & tracking
o Word processing
o Presentation development
o Internet
o Database management

• Minimum of five years’ experience in event management & providing administrative support to Management and Board
• Project coordination experience
• Supervising and training support staff

Working Conditions
• Work is primarily in an open, fast-paced office environment
• Some overnight travel and off-site work required (e.g. for Games and meetings)
• Will be required to work evenings and weekends during the busiest periods, including Games and other special events
