Job Description:
Job Title: Project Coordinator

Department: Project Management Office & Games Planning

Reports To: VP, Project Management & Games Planning

Number of Direct Reports: 0

English: Required
French: Desirable

General Accountability
Work with members of the Project Management Office to ensure relevant and timely information is updated and reported, proactively identify any inconsistencies and provide solutions that will ensure a well-managed Toronto 2015 Pan/Parapan American Games.

Work with members of the Games Operations Planning team to update, track and publish materials related to all aspects of Games Planning.

This is an evolving position and responsibilities may shift over time.

Key Job Responsibilities
• Maintain the TO2015 master schedule ensuring the information is accurate and up to date and that the master schedule is a valuable management and communications tool throughout the organization
• Provide input / analysis that identifies any potential issues or misalignments and provide input into solutions and or/impacts
• Design, implement and manage the master schedule change request process
• Integrate and produce monthly reporting packages
• Work with the Project Management team to coordinate meetings with internal stakeholders to review the status of division projects and deliverables
• Ensure reporting accurately reflects risks, issues, and accomplishments
• Proactively identify issues and follow- up on actions required
• Produce materials for Board reports and monthly Senior Leadership Team reports
• Prepare materials as required for the Games-time planning forum (bi-monthly organizational wide meeting). Ensure set-up for meetings is in place (projector, screen etc).
• Assist VP, Project Management & Games Planning with meeting preparation and scheduling

Educational/Technical Requirements
• Excellent working knowledge of project management tools (i.e. MS Project, Visio, Excel and SharePoint)
• Post-secondary education in a Project Management program
• Minimum of 3 years’ experience in a project management environment
• Demonstrated understanding of the Project Management life cycle
• Knowledge of key core project management competencies: budget and timeline management, scope management and risk management
• Project Management Professional (PMP) designation an asset

Personal Requirements
• Keen attention to detail and follow-up skills are critical in this role
• Possess an aptitude for successfully building relationships with employees, internal stakeholders
• Team player, service oriented
• Self-starter
• Ability to communicate effectively verbally; excellent writing skills with the ability to summarize complex information into easy to read succinct and accurate reports
• Ability to multi-task and work on multiple projects concurrently
• Ability to handle ambiguous assignments and deal with changing priorities
• High energy level and demonstrated ability to exude a “can do” attitude
• Sense of humour
