Position: Front Office Administration & Ticketing

Job Description:
Looking for an exciting and dynamic team to work with? You have found the right place! FC Edmonton Professional Soccer Club is seeking to fill the position of Front Office Administration & Ticking.

FRONT OFFICE ADMINISTRATION & TICKETING

JOB SUMMARY:

Reporting directly to the General Manager, the ideal candidate will act as first point of contact at the FC Edmonton business office and represent the organization professionally while delivering high quality customer service. This position will coordinate and ensure all daily administrative activities are executed efficiently and ticket operations are performed effectively, within time and budget parameters and in adherence with the initiatives of the Club.

GENERAL SCOPE OF RESPONSIBILITIES:

GENERAL ADMINISTRATION/ OFFICE MANAGEMENT
-Greet, assist, and/or direct all visitors appropriately
-Receive, direct and relay telephone, mail, e-mail, and faxes and parcels to the appropriate staff
-Provide administrative support for management, staff, coaches & players as needed
-Maintain general filing system and file all correspondence for all departments
-Purchase and maintain inventory of office stationary supplies and equipment. Schedule office equipment maintenance/servicing when required
-Assist with the shipping and receiving of material, in support of coach and athlete
-Outbound Mail & Express Mail Processing
-Develop and maintain key management reports

BOOKKEEPING/ACCOUNTING
-Data Entry
-Create, distribute and track all invoices
-Document & track all purchase orders
-Assist with the collections of outstanding accounts
-Fulfil and code all daily invoicing
-Assist with month, quarter and year end reconciliation
-Assists with tracking budget expenses
-Responsible for office petty cash use & reconciliation
-Process all credit/debit transactions and its daily reconciliation
-Focus on continuous improvement through sourcing out innovative, cost-efficient business solutions and make process improvement recommendations

TICKETING/GAME OPERATIONS
-Work in conjunction with E-tix, in the execution of all online ticket operations
-Oversee game day ticket operations & cash handling procedures.
-Responsible for the execution of all box office ticket operations at Clarke Field for all FC Edmonton home games.

MERCHANDISE
-Assist the Operations Manager with the fulfillment all merchandise requirements:
-Track orders through telephone, e-mails and website;
-Attend to walk-in FC Edmonton customers
-Package and ship orders; and
-Track and update inventory of merchandise

OTHER
-Establish productive working relationships with other FC Edmonton staff;
-Contribute to the projection of the FC Edmonton image.
-Ensure all activities are closely coordinated with those of other staff so that a seamless and productive team environment is created.
-Other projects & tasks as assigned

COMPETENCIES:

KNOWLEDGE
-Must possess aptitude for technical, detail-oriented work
-Advanced software and typing skills (Word, PowerPoint, Excel, Outlook, etc.)

SKILLS/EXPERIENCES
-Professional in overall appearance and presentation
-Self-starter. Should be able to work with minimum supervision
- Excellent communication skills both written and verbal
- Highly organized and ability to multi-task
- Ability to exercise discretion and sound judgement
- Proven reliability, punctuality and dependability

EXPERIENCE
-1 to 3 years minimum in an administrative/clerical role with basic booking experience required
-Previous experience in the sport industry is an asset

EDUCATION & TRAINING
-Preference will be given to candidates with post-secondary education or certification in Business Administration, Accounting or a related field.
